The handover: what we check together before you drive off

Most rental disputes anywhere in the world start the same way: nobody looked at the car properly before it drove off. Here is the five minutes that prevents it.

Why this five minutes matters more than the price

Most rental complaints anywhere in the world trace back to the same moment: nobody looked at the car properly before it drove away. A scuff that was already there becomes an argument three days later, and neither side has evidence.

It is avoidable, and it takes about five minutes. This guide is what we would tell a friend to check — with any rental company, anywhere — plus how our own handover works so you know what to expect at Kuching International Airport.

How our handover works

We do not have a counter. Once your flight is confirmed landed, our runner meets you at arrivals with the car. You look over the vehicle together, sign the rental agreement, and drive. The whole thing usually takes under ten minutes.

That "together" is the part that protects you. Anything already on the car gets noted while you are both standing next to it, rather than discovered later by one person alone.

The walk-around, in order

Start at the driver's door and walk all the way round the car in one direction. Doing it in a fixed order means you do not miss a panel.

Look at the tread depth and check none are visibly soft. You will meet heavy rain in Sarawak, and tyres are the one thing that matters most when the road is wet.

4. Inside

The single best habitTake a slow video with your phone before you drive off — one lap of the exterior, then the interior and the dashboard. Thirty seconds, timestamped, and it settles any question later. Do this with every rental company you ever use, not just us.

What to photograph

If you only take still photos rather than a video, get these five:

  1. Each of the four corners of the car, at an angle so two panels show in each shot.
  2. The dashboard with the ignition on, showing the fuel gauge and odometer.
  3. Any mark you spotted, close up, with something for scale.
  4. The interior, front and back.
  5. The boot, open and empty.

Keep them until your deposit is back. Then you can delete them and forget the whole thing — which is how it goes the overwhelming majority of the time.

Fuel and the dashboard

Note the fuel level at pickup. Our cars are Malaysian-registered vehicles, so you fill up with RON95; Malaysian citizens verify with MyKad at the pump for the subsidised BUDI95 rate, and non-citizens pay the unsubsidised RON95 price. The restriction people read about online applies to foreign-registered vehicles driven into Malaysia, not to a car rented here.

Fuel policy in Malaysia does get revised from time to time, so treat that as the current position and confirm with our team at handover. The return rule itself is simple: return the vehicle with the same fuel level shown during handover. That is why noting the gauge at pickup is worth the two seconds.

Questions worth asking at the kerb

Ask these while the person is standing in front of you. It takes a minute and saves a phone call later.

On that last one: our return is the pickup in reverse. Drive to the airport, we meet you, we check the car over together. Refundable security deposits are processed within 48 hours after vehicle return — not handed back in cash at the kerb. Allow yourself a comfortable 30 to 45 minutes before you would otherwise head to check-in.

Deposits

Ours are RM100 for the compact cars and sedans, RM200 for the seven-seaters, and RM300 for the Alphard/Vellfire. Refundable security deposits are processed within 48 hours after vehicle return.

Every rental includes unlimited kilometres and basic insurance; fuel and tolls are on the driver. If you want the specifics of insurance cover or anything else about charges for your particular booking, ask us on WhatsApp and we will confirm it in writing before you commit.

If you do find something

Point it out there and then. That is the entire purpose of doing the walk-around together — an existing mark that both people have seen and noted is simply a fact about the car, not a dispute waiting to happen.
